About SYSTEMology

SYSTEMology, founded by David Jenyns, helps businesses document and run their operations so they no longer depend on the owner. It combines the systemHUB software with training: the SYSTEMology book, the Systems Accelerator program and Systems Champion Certification. The product is structured process, which sets the bar for their own.

The problem

There is an obvious irony in a business systemisation company running on three tools that did not talk to each other. Pipedrive held sales, ActiveCampaign held marketing, Intercom held support, and the workflows between them were held together by people. Multiple unintegrated pipelines made the sales process hard to see as one thing. Recurring revenue was the sharpest gap: with visibility split across tools, monthly and annual recurring revenue could not be tracked reliably enough to forecast on.

How we approached it

The clients this business teaches expect it to practise what it sells, so the standard was higher than a usual consolidation job. We migrated the Pipedrive pipelines into HubSpot as one structure rather than recreating the same fragmentation inside a new tool, which is the common failure in this kind of move. Recurring revenue tracking was built in so MRR and ARR read in the CRM instead of being assembled from exports. Marketing moved next, with custom landing pages and integrated campaigns, and support was consolidated into a single ticketing system and conversational inbox so every channel converges on one queue.

What we built

  • Migration of multiple Pipedrive pipelines into HubSpot
  • Marketing moved off ActiveCampaign into HubSpot
  • Support moved off Intercom into HubSpot
  • Recurring revenue tracking for monthly and annual revenue
  • Custom landing pages and integrated marketing campaigns
  • Centralised ticketing with a conversational inbox

What changed

Sales, marketing and support run on one platform, so the handoffs between them stopped being manual. Recurring revenue is visible, which turned forecasting into something they can do rather than estimate. Support handles enquiries from every channel in one queue, with faster response times and better communication. Campaigns and landing pages now live where the customer record does, which made lead generation simpler to run and easier to measure.
